Field Operations Assistant

Description:

As a Field Operations Assistant you will play a key role in supporting field operations by handling administrative and clerical tasks. This position facilitates efficient communication, accurate filing of documentation and seamless coordination of activities. Responsibilities include maintaining organized records of quotes, purchase orders and invoices, as well as assisting field personnel with administrative duties while ensuring compliance with company and industry policies.

Responsibilities:

  • Monitoring and maintaining records for authorization for expenditures (AFE), purchase order (PO) tracking, and bid collection.
  • Assists with obtaining, coordinating, formatting, inputting, and distributing morning reports.
  • Assists with daily operations, including taking calls from field operators, foremen, contractors, landowners, and other public/private entities.
  • Coordinates information for inclusion in the monthly forecasts and weekly budget reports.
  • Assist new hires with paperwork and procedures associated with new employee orientation including time sheet collection, general benefits and compensation, vacation tracking, and other administrative employee policies and procedures.
  • Assists environmental and safety staff with relaying information between staff regarding work assignments, inspections, problems, and training coordination.
  • Maintains and updates company vehicle records for assigned region.
  • Answer, respond to and direct phone calls from staff, public or outside vendors

Qualifications: 

  • Three years of administrative assistant experience.
  • Ability to accurately solve problems and exceptional proficiency in data management.
  • Establish and maintain effective working relationships with employees, supervisors, other departments, officials, and the public.
  • Ability to multitask responsibilities with differing priorities
  • Anticipate problems and establish strategic plans for future success.
  • Perform tasks and achieve results with a high degree of accuracy and precision.
  • Excellent written and verbal communication skills.
  • Outstanding administrative and organizational skills.
  • Proficiency in the use and application of the following software: Microsoft Office (Excel, Word, and Outlook).
  • Experience with SAP

Educational Requirements: 

  • High School diploma or equivalent
